OFFICE ADMINISTRATOR

Hours: 3 days per week: 9 am – 5 pm with 1 hour lunch break – Thursday, Friday and either Tuesday or Wednesday.

Salary : £21,000 (pro rata to 3 days per week)

We are looking for someone who is great at planning and organising, process-orientated, with excellent attention to detail and a thorough completer-finisher. Reporting to the College Manager, you will take pride and satisfaction in providing a smooth and reliable service to our busy tutors across the range of our massage diplomas and courses, as well as being the lead for our popular Graduate Clinic.

You’ll feel confident working on your own in the office without supervision, and also be happy to ‘muck in’ where needed in our busy but small office team.

Duties include:

  1. Supporting the College Manager in planning and organising workflow, courses and workshops through weekly meetings and maintaining the college diary/calendar and booking system.
  2. Providing a course support service to the tutors for courses and workshops, including processing applications, liaising with course leaders, printing course materials, providing necessary paperwork to our exam body and other course administration
  3. Responding to requests from clients, students and tutors including taking bookings and payments
  4. Supporting the College’s Student and Graduate clinics by working with tutors to fill student clinics, and overseeing the graduate clinic – recruitment, induction, online bookings and ensuring all runs smoothly on the day.
  5. Support the accounting by paying invoices and providing information to the Finance Director if required
  6. Housekeeping and monitoring premises including stock ordering.
  7. Other duties as and when required

Essential Skills:

  • Excellent customer service, communication and interpersonal skills in dealing with a wide range of individuals
  • Able to maintain confidentiality and sensitivity at all times.
  • Proven experience in dealing with conflicting demands and priorities.
  • Good general IT skills and experience across a range of platforms

Desirable Skills:

  • Experience of BCMB’s training courses and ethos will be an advantage, as would be a general interest in massage and other complementary therapies.

Terms and Conditions

  • 6 weeks holiday pay + bank holidays (pro rata to 3 days per week)
  • A workplace NEST pension scheme is in operation at BCMB
  • You will be subject to a 6 week probationary period.

Job Description

1) Supporting the College Manager in planning office workflow

  • Weekly planning meetings with College Manager to make sure courses, workshops and clinics run smoothly including checking that tasks have been done
  • Managing systems/tools to support this

2) Accounts and finances

  • Paying and raising invoices
  • Providing information and answering queries for the Finance Director/Board
  • Support College Manager with reconciling and preparing end of year accounts as needed.

3) Supporting teaching teams in delivering professional diploma courses

  • Working closely with course leaders, carry out all course logistics tasks from application process to student graduation, including preparing materials for course start and teaching weekends, booking first aid courses, monitoring and ordering stock, ensuring paperwork is completed for exam body/professional association and maintaining course planning spreadsheets

4) Student and Graduate Clinics

  • Work with course leaders to book clients for monthly student clinics
  • Supporting and being first point of contact for graduate therapists and overseeing the running of the weekly clinic, including the online booking system

5) Some general housekeeping may also be required, plus dealing with issues as and when they arise in the College Managers absence.

OFFICE ASSISTANT

Hours: 2 days per week: 9 am – 5 pm with 1 hour lunch break – Monday and Friday

Salary: £16,500 (pro rata to 2 days per week)

Reporting to the College Manager and working alongside the Office Administrator, you will be familiar with an office environment, calm, capable, conscientious and enthusiastic, able to carry out routine office and housekeeping tasks but also be happy to ‘muck in’ where needed and respond to issues as they arise in our busy but small office team.

Duties include:

  1. General office duties – filing, data entry, going out for post or shopping, answering the phone and email etc.
  2. Helping to support the smooth running of courses, workshops and clinics, printing course materials and taking bookings
  3. Housekeeping – keeping the college tidy and laundering drapes and couch covers

Essential Skills

  • Excellent customer service, communication and interpersonal skills in dealing with a wide range of individuals
  • Able to maintain confidentiality and sensitivity at all times.
  • Confident, reliable and able to work with minimal supervision – but able to judge when to escalate issues
  • Good general IT skills

Desirable Skills:

  • Experience of BCMB’s training courses and ethos will be an advantage, as would be a general interest in massage and other complementary therapies.

Job Description

1) Housekeeping

  • Tidying up college and rearranging rooms after teaching weekends and workshops
  • Setting up college for teaching weekends and workshops
  • Ordering and replenishing kitchen and bathroom supplies
  • Laundry – washing, drying and putting away drapes and couch covers

2) Professional training courses

  • Putting applications on our database and filing hard copies
  • Helping to prepare materials for teaching weekends – printing, hand outs, manuals etc.
  • Helping to prepare joining packs and folders for the start of courses

3) Workshops

  • Putting participants details on database
  • Helping to prepare handbooks, certificates and attendee register

4) General office duties

  • Filing, going out for post/shopping
  • Dealing with enquiries by phone and email and escalating to College Manager/Office Administrator when needed
  • Taking course bookings and payments over the phone and face to face using online payment system, booking system and card machine.
  • Any other tasks as required
