BCMB is recruiting for an Administration Officer

The Bristol College of Massage and Bodywork is looking for an experienced individual to join the College as an Administrative Officer. The work is varied and complex. The role involves supporting the Office and Facilities Manager and Management Group (MG) to organise and manage all the College’s courses and clinics and premises as well as general office duties.

Job Description

Duties include:

  1. Dealing with enquiries, bookings and payments face to face, online, by post, telephone, or video conferencing, including resolving issues arising where ever possible.
  2. Support to Office and Facilities Manager in maintaining online booking system, calendar and website.
  3. Overseeing the administration of the training programme and activities from application process to student graduation, with oversight from Office and Facilities Manager and working closely in collaboration with course leaders.
  • Applications and bookings.
  • Payments and invoicing.
  • Preparing course materials for course start and throughout; including printing arrangements; collating course packs and ensuring monthly course logistics are carries out.
  • Overseeing in liaison with course tutors the exams process, and administration of the QC system e.g. ensuring paperwork is completed for exam body/professional association.
  • Administration of course re-sits including communication with students.
  • Booking First Aid course.
  • Ensuring the college database and course spreadsheets are updated.

4. Overseeing the Student and Graduate clinics:

  • Full support to College’s student and graduate clinics.
  • Planning and overseeing clinic sessions.
  • Liaising with students, graduates and course leaders.
  • Taking bookings and payments.

5. Accounts and Finances and Legal

  • Occasional cover for Office and Facilities Manager for admin of financial and legal tasks as and when needed with hand-over and support.

6. Marketing

  • Occasional administrative support to the marketing officer.

7. Facilities:

  • Tidying and rearrangement of rooms
  • Monitoring and ordering office supplies as required

Person Specification
Essential Skills:

  • Excellent customer services skills in dealing with a wide range of individuals.
  • Able to maintain confidentiality and sensitivity at all times.
  • Proven ability to work independently, taking a lead on project delivery.
  • Team player, able to collaborate, ask for help and take instruction.
  • Excellent communication and interpersonal skills whether face to face, in writing, telephone or video conferencing.
  • Experience in dealing with conflicting demands and priorities.
  • Good attention to detail.
  • Good IT skills and experience, ability to use databases, excel and other programmes specific to the college (training will be given).
  • Ability to think ahead and work to a timetable of activity.

Desirable Skills:

  • Experience of BCMB’s training courses and ethos will be an advantage but is not essential.
  • A general interest in massage and other complementary therapies would be beneficial but is not essential.

Terms and Conditions

  • 3 days per week: 9 am – 5 pm (lunch break 1 – 2 pm), preferably Monday, Tuesday and Thursday.
  • Salary: full time equivalent £22,000 (pro rata)               
  • 4 weeks holiday + bank holidays (pro rata), rising to 5 weeks holiday after 12 months
  • A workplace pension scheme is in operation at BCMB.
